Privacy Policy

Maneiro is an AI layer for healthcare practitioners that works on top of the EHR they already use. This policy is issued by Maneiro Health Technologies Inc. ("Maneiro", "we", "our"), which provides Maneiro as a web application and a Chrome extension. This policy explains how we handle information when clinics and their staff use Maneiro. Maneiro handles personal information under BC's Personal Information Protection Act and, where it applies, PIPEDA.

Who controls patient information

The clinic controls the patient record. Maneiro acts as the clinic's service provider: we handle patient information only to provide the service the clinic has asked for, on the clinic's instructions.

What Maneiro handles

Maneiro connects to your clinic's practice management or EHR system where applicable. To provide the service, it handles:

• Clinical information from the patient encounter, such as visual acuity, eye pressure, refraction and exam findings
• Patient details the clinic's record contains, such as name, date of birth and chart number
• Values a clinician approves for entry into the clinic's record
• Voice recordings, when a clinician uses the voice scribe in the Maneiro web application (the Chrome extension does not record audio)
• Staff account details, such as name and username

What Maneiro does not do

• We do not sell or share any data with advertisers or data brokers
• We do not track your browsing activity outside of your clinical software
• We do not use patient data to train AI models, and our AI text providers may not use it for training.

Storage and security

Maneiro's service stores patient data on secure servers. Data is encrypted in transit using TLS. Stored data is encrypted at rest at the storage level (the databases and file storage the service uses).

AI processing and service providers

Some features, such as drafting notes, briefs and letters, use AI service providers.

AI text providers receive text only after names, health numbers and other identifiers are automatically removed. This removal is automated and may occasionally miss something. One provider may keep this text for up to 30 days for abuse monitoring, then deletes it. No provider may use it to train models. Voice-scribe audio is sent to a transcription provider to produce the transcript. Our main provider keeps no audio or transcript after returning the result. If it is unavailable, audio may go to Amazon Transcribe in Canada, which may keep it under its own service terms.

Service providers outside Canada may process data for us; while they do, it is subject to the laws of that country, including lawful access by its authorities.

Voice and audio

When a clinician uses the voice scribe, audio is sent to our transcription provider to produce the transcript.

Retention

We keep clinic data while the agreement is in force and afterwards until it is returned or deleted at the clinic's request.

Access, correction and deletion

Patients who want to see or correct their information should contact their clinic. We handle access and correction requests together with the clinic, which controls the patient record. Clinics may ask for access to, correction of, or deletion of their data by contacting support@maneiro.ai.

Changes to this policy

We update this policy when our data handling changes, and change the date above.
